Minutes: Board of Directors of the Friends of the Bartlett Library

The meeting was held June 8, 2010 at the library at 5:35 PM. In attendance:Gerrie Beck, Bette DuBois, Jackie Hamblet, Karen Allen, Colleen Allbee, Judy Ludgate, Linda Hastings; Trustee, Beverly Sarapin; and adjunct member, director of library services, Kathy Van Deursen.

The minutes of the May meeting were read and accepted with the following correction:

It is Judy, not Jackie, with access to the web site.

Treasurer’s report: The balance is still $5,499.65.

Discussion on the possibility of a requirement that 501C organizations must file a report every five years to maintain their non profit status. Jackie was requested to send an e-mail to Leo, who is the treasurer of the trustees, concerning how to access the required form. Jackie has been submitting an annual form and this five year form may not be required, but the Friends should determine the correct action.

Librarian News: Kathy has received the books for the “Reads to Go” kit which will be borrowed by other libraries and groups for their book clubs. The title is MUDBOUND by Hillary Jordan. This kit contains 15 trade paperbacks; the large print book is not available. She purchased the books from White Birch Books for $167. and presented the invoice to Jackie to be paid. Kathy will check on the price of adding an audio book to the kit. She will send the books to the state and they will process the books with identification and paperwork for borrowing the book, questions for leading a discussion and biographical information on the author

One Book : One Valley. The book is GO WITH ME by Castle Freeman. Kathy is looking into a adjunct program to fit the suggested them of “Bully and/or Heroes. If she can’t coordinate a program with the school librarian, she will select a program and set it up in October. The book club will discuss the book at the meeting October 12.

Kathy has been busy attending conferences and workshops.

Summer Reading Program: Beverly Sarapin has been organizing this and has volunteers to read on Tuesday mornings this summer and do a very simple craft with the children.

Book Sale: Will be held on the same day as the parade, July 3. A request will be made to drop off books June 28 to July 2. The Country Picker will deliver the books they have saved since last year. Set up will be Friday, July 2 from 9 to noon and the sale will be at 9:00 on Saturday with workers requested to arrive by 8:00. A sign up sheet was passed around seeking help.

There will also be a bake sale and food should be dropped off Friday morning or early Saturday.

Gerrie will send an e-mail to all Friends looking for donations.

Colleen will call Julia King to see if she can bring her tent to protect the baked goods. The baked goods will be laced near the road to be seen and the books will be near the building for ease in setup and in case of inclement weather.

Judy will determine if anyone else is selling popcorn or if we should be have a popcorn machine.

Jackie will make posters.

Kathy will have the information put on the board in front of the building. She saved the labels for the tables and Jackie will make more if needed.

Gerrie will put the information in the town column. She also offered to send a press release to the newspapers, but Marcia Burchstead, trustee, will take care of the press release.

Items needed: Bags for shoppers to carry purchases. saran wrap, napkins and paper plates. The library has plenty of napkins and plates.

Books will be priced by type , not with individual prices.

There will be a Boutique Table including newer and better books at slightly higher prices.

Money from the sale will go to the Friends and will be used for things needed by the library.

Book Club: THE LACE READER by Brunonia Barry will be discussed June 8 and Beverly will lead the discussion. Judy will write up the discussion.

Jackie will write up the Amoskeag discussion.

Karen will write up GARDEN SPELLS by Sarah Addison which will be July 13 , Linda will lead the discussion and Nancy Nelson will bring the food and Linda the drinks.

MONIQUE AND THE MANGO RAINS by Kris Holloway will be August 10.

MUDBOUND will be September 8.

Jackie distributed posters for July book club.

Trustees: Beverly reported that they learned at a conference how important it is to have an active Friends group and they are appreciative and thankful for the support of the Friends.

The Site Committee is still meeting and has selected a site but it is not confirmed or official yet. They are discussing how to pay for it. Jane Duggan and Kathleen Sullivan Head are working on the committee and need more members if anyone is interested in participating. There is still a need for a new trustee; suggestions are welcome.

Flatbread: The next date is September 7. Colleen brought the new addition to the banner, which will satisfy the requirements of Flatbread.

Dada mail is going well but it is important to have the correct e-mail addresses as some emails have been returned.. Answers for Dada mail questions go to the library and are checked regularly by Gerrie. List A has 60 names for the Friends. List B is for the Board.

Newsletter: Now published twice a year in March and September. Jackie will write an article on the Book and Bake Sale. Judy is organizing this.

Judy stated that the Friends are willing to do new projects and help the library and librarian , as needed. Kathy will think about new things needed. There was a discussion about furniture and dividers for the computer area.

The meeting adjourned at 6:50. The next meeting will be on September 7 at 5:30.
